The Sales Assistant is a critical member of the Press Sales Department. The Sales Assistant, working in close collaboration with the Marketing and Publicity Department, ensures that Press sales representatives have all of the information they need to maximize book sales. The Sales Assistant also facilitates book sales at author events as well as certain special sales. In addition, the position provides high-level analysis for the Press re-Press and Book Industry sales and sales channel performance. The Sales Assistant oversees the Sales department student interns.
1. Information and Communication a. Internal - serve as the principal source of information for domestic sales reps, warehouse and customer care staff on title availability, prices, price changes, print runs, publicity news, author information, and other critical book information. Prepare Publicity and Production Updates for sales reps and selected buyers and accounts; prepare and deliver weekly sales tracking reports to all of Yale Press. b. External - act as contact for account inquiries and potential special sales customers regarding orders, pricing, discounts, title availability, including working with Title Management Module (TMM) to research sales and act as liaison as needed with vendors such as Nielsen and Edelweiss. 2. Sales Services: Coordinate materials for domestic sales reps and key accounts - catalogs, order forms, galleys, samples, and for bookseller regional trade shows, BEA, others as needed. Process, annotate, and research aspects of orders from sales reps and accounts, take telephone orders; respond directly to customers or accounts. 3. Author Events: Work with publicists, book stores, event venues and authors to co-ordinate arrangements and book orders for bookstore and off-site events. 4. Meetings: help organize two sales conferences per year. Assist in producing and organizing title information sheets and other material for each sales conference. 5. Systems work and reporting: Help design, troubleshoot and implement sales reports; flyers for author events; assist with seasonal catalog functions and operations (Edelweiss on line catalog), and other tools for the sales and marketing departments. 6. Expenses and AP: Prepare expense reports for Sales Department. Submit invoices for Yale Univ. central accounting payment, including BookScan (Nielsen), Reed Exhibitions (BEA), Edelweiss (Above the Treeline) and commission payments. 7. Admin: Perform routine clerical work including photocopying, mailing, answering phones, and other duties as may be required.
Required Education and Experience
BA or BS and two years experience in a related field (book publishing or book retail or wholesale; consumer or trade magazine or scholarly publishing, editorial, marketing or sales); or an equivalent combination of education and experience.
Required Skill/Ability 1:
Excellent proofreading, organizational, follow-through and writing skills. Demonstrated ability to proofread for accuracy, spelling, grammar and style.
Required Skill/Ability 2:
Excellent attention to detail.
Required Skill/Ability 3:
Demonstrated ability to take the initiative, to work independently and under deadline pressure.
Required Skill/Ability 4:
Intermediate to advanced proficiency with MS Office programs, including Word and Excel.
Preferred Education, Experience and Skills:
Yale Press Internship, graduate of a post-graduate professional level publishing course, or six months experience as a Publishing or Editorial Assistant at Yale Press. Experience with databases and title management systems. Design experience and knowledge of InDesign and Photoshop.
